Privacy Policy
Effective date: October 29, 2026
This policy explains what Cold Approach AI collects, what it never collects, who handles the data, and how you can delete it. It covers the Cold Approach AI app for iPhone and Android and this website. Cold Approach AI is made by Cold Approach AI LLC ("we", "us").
The short version
- Your phone turns your voice into text with Apple or Google speech recognition, on the device when it can. Only the text, plus a few numbers about how you sounded (like pace and pauses), reaches us.
- Regular accounts never send us audio, and the app never saves a recording of you. Your phone turns speech into text (Apple or Google may process the audio to do that). Only testers we invite can turn on a recorded test mode, described below.
- The other person is never profiled. The app only coaches you.
- We keep your account, your messages to the coach, and your approach transcripts and scorecards while your account exists.
- We do not sell your data.
- Delete your account and all of its data in the app (Settings > Delete account), or email support@coldapproach.ai.
1. What we collect
Account details
When you sign in with Apple, Google, or an emailed code, we receive and store your email address and your name (if the sign-in provider shares one). We use them to create your account, sign you in, and reach you about your account.
The text of what you say to the coach
When you speak to the coach, your phone converts your voice into text using Apple or Google speech recognition. That runs on the device when your phone supports it; otherwise Apple or Google may process the audio on their servers under their own privacy policies. Only the text is sent to us. If you type instead of speaking, we receive the text you typed. This text is what the AI uses to write the reply.
Approach transcripts and scorecards
When you run an approach, the phone listens and turns what is said into a text transcript using Apple or Google speech recognition (on the device when your phone supports it). We store that transcript, the review, the score, the coach's feedback, and any follow-up conversation you have about it ("Talk it through"). These are kept in your account so you can go back to them on the Approach tab.
Voice measurements
During an approach, your phone also measures how you sound: pitch, pace, loudness, pauses, laughter and similar. These numbers (not audio) are sent to our server and to Anthropic with your review so the coach can comment on your delivery. We do not store them.
Recorded test mode (testers only)
Only accounts we mark as testers can turn on “Recorded test mode”. When it is on, the app records the approach audio and uploads it to our server and to ElevenLabs, which turns it into a transcript that shows who said what. It is only for role-plays where everyone has agreed to be recorded. We do not keep that audio; ElevenLabs may keep it for a time under its own policy. Regular accounts never see this mode.
Purchase status
Subscriptions are bought through the App Store or Google Play. We receive and store whether your subscription or free trial is active, which plan you have, and when it renews or ends, and we verify this with Apple or Google. We never see your card number or billing details. Apple or Google handle payment.
Usage counts
We count how many questions and approach reviews you have used in the current month so we can apply the monthly allowance.
Reports of coach answers
In the Android app you can tap Report on a coach answer or a review. We then store the text of that answer, the note you add (if any), which review it belongs to, and when you sent it, with your account id, so we can check the answer and improve the coach. Reports are deleted with your account, unless the law requires us to keep them.
Applying to Daniel Jacob’s coaching program
The app shows a card for Daniel Jacob’s coaching program, which his company, Everlasting Confidence, runs. If you tap Apply, we record that you tapped it, where in the app, and when, then that the form opened and that it was sent (with the form’s response id). We save your email and account id with these records so we can count the applications that came from the app, because we receive a referral fee when someone who applied through the app joins the program. We never see your answers.
The form is run by Everlasting Confidence on Typeform. It opens in your phone’s web browser. We send the form only that you came from the app and where you tapped, never your email or account id. What you type in the form goes to Everlasting Confidence and Typeform under their own privacy policies, and the form page uses the Meta Pixel.
This website
If you joined the launch waitlist (it is now closed), we keep the email address you entered (and whether you are on iPhone or Android) and use it only to tell you when the app is available. To be removed, email support@coldapproach.ai.
This website does not set cookies and does not run analytics or advertising trackers. The audio samples play from this website. Our hosting provider may keep standard server logs, including IP addresses, for a short time to keep the service running and secure.
2. What we do not collect
- Audio from regular accounts. We never receive or store it, and the app never saves a recording of you. Speech is turned into text by Apple or Google speech recognition, on the device when your phone supports it, and only the text (plus the voice measurements above) is sent to us. The only exception is recorded test mode for invited testers, described in section 1.
- The other person's voice or identity. The app never profiles the other person, never saves their voice, and never asks who they are. The text transcript of an approach can include what they said, because the coach reviews the whole conversation, but it is stored only in your account and is not linked to them. The app only coaches you.
3. How we use your data
- To run the app: sign you in, send your text to the AI, return the coach's reply in text and voice, and save your approaches to your account.
- To apply your subscription and your monthly allowance.
- To answer you when you write to support.
- To count the applications to Daniel Jacob’s coaching program that came from the app (see Applying above).
We do not sell your data. The app has no ad networks, and we do not use or share your data for targeted advertising.
4. Who processes your data
We use a small number of service providers. Each one only receives what it needs for its job.
- Supabase stores your account and handles sign in with Apple, Google, or an emailed code. Your messages, transcripts, and scorecards are stored there too.
- Anthropic provides the AI model (Claude) that writes the coach's reply. It receives the text of what you say and the transcript it is reviewing, plus the voice measurements during a review.
- ElevenLabs turns the coach's written reply into speech in the cloned voice. It receives the text of the reply. In recorded test mode only (testers), it also receives the approach audio to make the transcript.
- Apple and Google provide speech recognition, sign in, and payments. Speech recognition runs on your phone when it can; otherwise Apple or Google process the audio to return text, under their own privacy policies. Purchases are made and verified through the App Store or Google Play.
- Fly.io hosts our server, which connects the pieces above, and hosts this website.
Everlasting Confidence and Typeform are independent businesses, not our service providers. If you fill in the application form, their own privacy policies cover what you give them.
5. How long we keep it
We keep your account details, your messages to the coach, your approach transcripts and scorecards, your purchase status, your Apply records, and any reports you send for as long as your account exists. When you delete your account, we delete all of it, unless the law requires us to keep something (for example, after a report under our Child Safety Standards). Daily backups of our database are kept for 7 days and then replaced, so deleted data is gone from them within 7 days.
6. How to delete your account
In the app, go to Settings > Delete account. This deletes your account and all of the data we store about you, and clears your Prepare chats and the saved coach audio from that phone. You can also email support@coldapproach.ai from the email address on your account, and we will delete it for you and confirm by email. Deleting your account does not cancel a subscription. Cancel that in the App Store or Google Play first, or the store will keep billing you. See the support page for the steps.
7. Children
Cold Approach AI is for adults. You must be 18 or older to use it. We do not knowingly collect data from anyone under 18. If you believe someone under 18 has made an account, email us and we will delete it.
8. Your rights, including California rights
Wherever you live, you can ask us what we hold about you, ask us to correct it, or ask us to delete it. If you live in California, the California Consumer Privacy Act gives you the right to know what personal information we collect and how we use it, the right to delete it, the right to correct it, the right to opt out of the sale or sharing of personal information (we do not sell it, and we do not share it for cross-context behavioral advertising; the service providers in section 4 only process it for us), and the right not to be treated differently for using these rights. To use any of these rights, email support@coldapproach.ai. We may ask you to confirm that you own the account before we act.
9. Security
Data travels between the app, our server, and our providers over encrypted connections. No system is perfectly secure, and we cannot promise that your data can never be accessed without permission. Please use a sign-in method you control.
10. Changes to this policy
If we change this policy, we will post the new version here with a new effective date. If the change is significant, we will also tell you in the app or by email.
